Integration overview

The ClickTime + Zapier integration provides an automated way to connect ClickTime with over 5,000+ third-party applications without requiring custom code. It supports both triggers (events in ClickTime that start a workflow elsewhere) and actions (events in other apps that create or update data inside ClickTime).

ClickTime requirements

  • ClickTime Administrator account
  • A REST API Token, generated from Company > Preferences
  • Premier or Enterprise subscription (or custom API Add-on)

Zapier

  • An active Zapier account — Free tier supports single-step Zaps; multi-step Zaps require a premium plan
  • Admin privileges to complete initial token validation

Provisioning / Setup Requirements

A REST API Token authorizes the connection and must be generated before any Zap can be built.

  • Generate a REST API Token in ClickTime under Company > Preferences
  • Confirm any mandatory parent fields exist before syncing dependents — for example, a Client must exist before a Project can be created for it
  • Reference objects (Clients, Projects, Tasks, Users) must map using exact GUIDs or configured custom keys

Building and Testing a Zap

Once your API token is ready, the rest of the setup happens in Zapier.

  • Click Create Zap to start a new pipeline
  • Select ClickTime as either your Trigger or Action app, and authenticate with your REST API Token
  • Map fields between the source and destination apps, paying close attention to email, dates, and ID fields
  • Run a test step to confirm data transits correctly
  • Publish and enable the Zap
